Employee Event in a Recording Studio: How Your Team Becomes a Music Project

Group of employees singing together around a large-diaphragm microphone in a recording studio

An employee event in a Munich recording studio does not end with a group photo. It ends with a finished song. Here is how to plan an employee event: how such a team day runs, what you should settle in advance and how much time each step takes.

The short version

✓ Nobody needs musical experience – sound engineers guide the whole session.

✓ Packages run for 90, 120 or 180 minutes and are designed for up to 12 participants.

✓ The result: a produced song including mixing and mastering, plus CDs with your own cover.

✓ Please send your song choice at least 48 hours before the date.

✓ Prices start at 299 € incl. 19 % VAT.

Why an employee event in a recording studio works

Most team events end with a memory. An employee event in a recording studio ends with a file you can play – and everyone in the team sang on it.

That changes the dynamic. There are no winners and losers as in competitive formats, only a task that works solely together. People who rarely speak up still hear themselves on the recording. And because professionals run the technology, nobody has to be able to do anything except join in.

What an employee event delivers

✓ A shared result instead of a competition – every voice ends up on the same recording.

✓ Clear roles: who sings, who claps, who speaks the intro, who handles the cover photo.

✓ Something you can actually use afterwards – internally, at the Christmas party or in recruiting.

✓ An unfamiliar setting: a recording room reshuffles hierarchies surprisingly fast.

Which song suits your team?

Two routes work well – and you should choose one in advance, because they need different amounts of time.

A cover song

A well-known track, sung by your team. The advantage: everyone knows the melody, warming up is quick, and it sounds like something immediately. You can browse options under Cover Song / Karaoke.

Your own company anthem or jingle

Your own lyrics over a playback – often funnier, always more personal. Plan lead time for it: the text should be finished before the appointment, otherwise studio time goes into hunting for rhymes. Two or three verses and a chorus are plenty.

Clear the rights before you publish

Listening internally, playing it at a company party and posting it on LinkedIn are different kinds of use. With cover songs, what matters is what you plan to do with the recording. Clarify this with the relevant collecting society before publishing; in Germany that is GEMA. We tell you what we deliver technically – the clearance for your intended use is yours to obtain.

Decide before the appointment

✓ Cover song or your own lyrics?

✓ Who sings the verses, who sings the chorus?

✓ Should it sound serious, or is funny allowed?

✓ What will the song be used for afterwards – internal, event or public?

✓ Send the song choice at least 48 hours in advance.

How your employee event in the studio runs

1Arrival and introduction
A short tour of the control room and the recording room, then the question that decides everything: who dares to go first? In our experience someone volunteers within five minutes.
2Soundcheck and warm-up
Listen to the playback, check the key, set headphone levels. This is where you notice how your own voice feels in headphones – unfamiliar, but normal after two run-throughs.
3Group recording
The core of the day: everyone onto one microphone, several takes. The best energy usually sits in take two or three.
4Solo parts and backing vocals
Anyone who wants to sings a line alone or speaks an intro. Anyone who does not claps, stomps or joins the choir. There is a role for everyone.
5Mixing and mastering
The tracks are balanced, effects are set, loudness is matched. You hear the difference between the raw take and the finished mix right there in the control room – for many people the most surprising moment of the day.
6Cover photo and green screen
A group shot is taken for the CD cover, on request in front of the green screen. The result looks like your team, not like a template.
7Handover
You receive CDs with a printed cover and a karaoke playback for your next party. A video recording of the session is available for an extra fee.

How to plan an employee event: group size, duration and preparation

The packages are designed for up to 12 participants. Each additional person costs 5 €. Larger departments are best split across two dates – not for technical reasons, but because a recording room gets restless beyond a certain group size.

Settle this internally beforehand

✓ Number of participants – and who is definitely coming.

✓ Song choice, sent at least 48 hours before the date.

✓ Lyrics or lyric changes finished if you record your own anthem.

✓ Who speaks the intro? One sentence is enough.

✓ Do you want a video recording? That costs an additional 99 €.

✓ Travel and meeting point, so half the team does not arrive ten minutes late.

What you do not need

✓ No singing experience, no sheet music, no instrument.

✓ No equipment of your own – microphones, headphones and playback are ready.

✓ No special clothing; for the cover photo a shared detail helps, company shirts for example.

Packages and prices

The three employee event packages differ in studio time and number of songs. All services are described in detail on the Employee Event page.

Prices range from 299 € to 499 € incl. 19 % VAT, each for up to 12 participants; every additional person costs 5 €. Mixing, mastering, the cover photo shoot and two CDs are included in every package, and all packages are also available as a voucher.

If your team would rather try something else, there is also an AI team event and classic vocal recordings for individuals.

Frequently asked questions

Do we have to be able to sing?

No. That is exactly the point: nobody has to. Group vocals forgive a lot, and there are roles away from the microphone for everything else.

How large can the group be?

The packages cover up to 12 people, each additional person costs 5 €. For noticeably larger groups, talk to us in advance so we can plan the schedule accordingly.

How long does it really take?

The booked studio time is 90, 120 or 180 minutes. Add a buffer before and after – for arriving, coats, photos and the inevitable moment when everyone wants to hear the result one more time.

Do we get the song as a file?

You receive two CDs with a printed cover; additional copies cost 3 € each. Which file formats you need on top is agreed at the appointment.

Can we post the song on social media?

That depends on whether you recorded a cover song or your own lyrics. Clear the usage rights before publishing – GEMA can advise you.

Can the day be filmed?

Yes, a video recording can be booked for an extra 99 €. If you want more than that, have a look at the music video page.

Does this work as a Christmas party or kick-off?

Yes, an employee event works as both – and both are common. For seasonal dates, book early; the Xmas Special fills up quickly in winter.

Location & directions

The recording studio is in Munich’s Westend district, right at the Westendstraße underground station. From the main station it is four stops with the U4 or U5 – handy when your team arrives from different directions.
